{"id":910,"date":"2016-08-31T05:22:44","date_gmt":"2016-08-31T05:22:44","guid":{"rendered":"http:\/\/www.immediate-effects.com\/en\/?p=910"},"modified":"2017-03-27T09:30:47","modified_gmt":"2017-03-27T08:30:47","slug":"9-easy-steps-achieve-total-control-life","status":"publish","type":"post","link":"https:\/\/www.immediate-effects.com\/en\/9-easy-steps-achieve-total-control-life\/","title":{"rendered":"9 easy steps to achieve total control over your life"},"content":{"rendered":"<p style=\"text-align: justify;\">I gave a lecture yesterday, and as I was starting to speak I looked out and saw faces consumed with fatigue and stress.\u00a0 It\u2019s finals time, and the students are suffering.\u00a0 So, rather than talk about what I had planned, I switched gears and gave an impromptu lesson on ProWork, which I\u2019ve covered <a href=\"https:\/\/www.immediate-effects.com\/en\/prowork\/problem-solution-statement\/\">here<\/a>.<\/p>\n<p style=\"text-align: justify;\">I was shooting from the hip, and was afraid I\u2019d dumb it down too much, but I\u00a0<em>think<\/em>\u00a0that by taking this quick approach it may have resulted in people actually attempting to take the information and apply it to their lives.<\/p>\n<p style=\"text-align: justify;\">So, I thought I\u2019d try to record it here so that others who might be feeling stressed, and don\u2019t have the time to read up on my website could still start taking control.\u00a0 I, of course, hope it results in people\u00a0<a href=\"https:\/\/www.immediate-effects.com\/en\/prowork\/\">taking the course<\/a>.<\/p>\n<p style=\"text-align: justify;\">If you\u2019ve got 10 minutes, I promise that by going through the following steps, you will feel like your life is much more manageable!<\/p>\n<p style=\"text-align: justify;\"><strong>Step 1: Purge<\/strong><br \/>\nGet out a clean piece of paper.\u00a0 Take 3-5 minutes and do a brain dump of all the things you have to do; all the things on your mind that require some action from you.\u00a0 These could be things as small as returning an email to as large as getting your new CD recorded.\u00a0 Don\u2019t filter, just write.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 2: The 2-minute rule<\/strong><br \/>\nPut a check by all the items that \u2013 were you in the right context \u2013 you could do in\u00a02 minutes or less.\u00a0 So, for instance, if you have an electricity bill to pay, if you were in front of your computer, you could log on and pay via your electronic banking method of choice\u00a0<em>in 2 minutes or less.<\/em><\/p>\n<p style=\"text-align: justify;\">These small tasks that take\u00a02 minutes or less to accomplish are often the ones that keep us from ever getting to our larger more important tasks.\u00a0 By getting them out of the way every day, you will clear a path to really knocking out some big projects.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 3: Give yourself permission to NOT get certain things done<\/strong><br \/>\nTake a look at your list.\u00a0 Are there certain things that you know realistically just ain\u2019t gonna happen?\u00a0 If so, cross them off, and allow yourself to forget about them.<\/p>\n<p style=\"text-align: justify;\">We all have calls from three weeks ago that need to be returned that likely aren\u2019t\u00a0<em>ever<\/em>\u00a0going to be returned.\u00a0 Forget them, and feel OK about it.\u00a0 If you forgot to send Grandma a birthday card, and her birthday was four months ago,\u00a0<em>forget it!<\/em>\u00a0 Make it up to her next year, or give her a call \u2013 which should be done in 2 minutes or less.<\/p>\n<p style=\"text-align: justify;\">These dead letter items really clog things up.\u00a0 Giving yourself permission to let go of them will help you get to your bigger items, and will assuage some of your guilt.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 4: Backburner<\/strong><br \/>\nThere are likely some items on your list that are ideas you have that don\u2019t really have a context, and that you\u2019re not sure when or if you want to do them, but are reluctant to let go of them.\u00a0 Writing a book would be a good example of this.<\/p>\n<p style=\"text-align: justify;\">Denote these large, uncertain projects as \u201cBackburner\u201d items on your list.\u00a0 You\u2019ve now gotten them out of your head, and into a more tangible form (on paper), and so you don\u2019t risk forgetting about them, but you also don\u2019t have to act on them until you\u2019re ready (if ever).<\/p>\n<p style=\"text-align: justify;\"><strong>Step 5: Contextualize<\/strong><br \/>\nOn the items you have left, beside each list the place where you need to be to accomplish this task.\u00a0 If, for instance, you have a bunch of phone calls to make, and you have a commute each day, you may want to contextualize your phone calls as \u201cin the car.\u201d<\/p>\n<p style=\"text-align: justify;\">Sample contexts include: home, office, errands, computer, reading, waiting-for, etc.<\/p>\n<p style=\"text-align: justify;\">The thinking here is that if you organize by context, you will always have the things you need when you\u2019re ready to get down to work.<\/p>\n<p style=\"text-align: justify;\">Additionally, it helps you maximize your time by getting things done in whatever context you find yourself; e.g. the phone call in the car example above.<\/p>\n<p style=\"text-align: justify;\">As mentioned, the Backburner items don\u2019t need a context, and you might want to create a context for recurring small things (finding time for doing daily chores or other similar recurring things). I use the context<strong>\u00a0<\/strong><strong>\u201crecurring\u201d for this, and make sure they are either described as 1xDay, 1xWeek, or similar.<\/strong><\/p>\n<p style=\"text-align: justify;\"><strong>Step 6: Next Actions<\/strong><br \/>\nThis (and the context) is the step that really separates as good Self-management method such as ProWork from just being a to-do list. You must make your items actionable. What this means is that for every item that you can\u2019t accomplish in five minutes or list, you need to assign the <em>very next <\/em>physical action you will take to getting one step closer to completion.<\/p>\n<p style=\"text-align: justify;\">If it is not the very next possible physical action, your action is not possible to do later, and you have just created a wish-list of completed projects. It would also continue to burden you, as you have not yet thought thoroughly through, by what means you want to reach that conclusion and end-state of your item.<\/p>\n<p style=\"text-align: justify;\">If this is a small item, like sending a thank you card, the next action might be to buy the thank you card.\u00a0 If it\u2019s a big item like selling 20,000 records, your next action might be to start your strategic plan.<\/p>\n<p style=\"text-align: justify;\">Be careful here to make sure that your next action is something that is realistically done.\u00a0 If your next action is too broad, it won\u2019t be actionable, it will be sort of a sub-task.<\/p>\n<p style=\"text-align: justify;\">Be specific, focus on the very next physical thing that you can focus on to get one (and only one) step closer to completing the task.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 7: Projects<\/strong><br \/>\nBy now you should have eliminated quite a few items from your original list.\u00a0 There should be quite a few things you can accomplish in five minutes or less that are (or will soon be) gone; there should be a couple of things that you have forgiven yourself from ever doing, and are now gone; there might be one or two items that get moved off the list into the \u201cBackburner\u201d category; there should be a handful of things that will be done as soon as you complete the next action; i.e. these are tasks that while they will take more than 2 minutes to complete, only have one action to complete.<\/p>\n<p style=\"text-align: justify;\">What\u2019s left are items that will take more than one next action to complete.\u00a0These are\u00a0<strong>projects<\/strong>.<\/p>\n<p style=\"text-align: justify;\">These projects will have a series of actions that will need to be completed. You should thus contextualize them, and add the next action.\u00a0Once this next action is complete, you generate the subsequent action, and so on until you have completed the entire project.<\/p>\n<p style=\"text-align: justify;\">These projects can and should appear each time you do a brain dump of the things you need to do, but they should be moving gradually to completion as the next action should be changing.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 8: Choose a ProWork System<\/strong><br \/>\nYour piece of paper is likely a mess.\u00a0 You\u2019ll want to create a way to repeat the above steps so that you know what to do for whatever context you find yourself in, and so that you can update the next actions on your way to completion of a project.<\/p>\n<p style=\"text-align: justify;\">There are a\u00a0<strong>ton<\/strong>\u00a0of good action management systems out there, Apps and paper-based.\u00a0From the low tech, like Merlin Mann\u2019s\u00a0<a href=\"http:\/\/www.43folders.com\/2004\/09\/03\/introducing-the-hipster-pda\/\" target=\"_blank\">Hipster PDA<\/a>\u00a0which is a series of color-coded note cards, to well-known Apps such as Outlook and Lotus Notes.<\/p>\n<p style=\"text-align: justify;\">You could, of course, also just use a notebook.<\/p>\n<p style=\"text-align: justify;\"><strong>Step 9: Weekly Review and Preview<\/strong><br \/>\nEssential to the process is the idea of a weekly re- and pre-view.\u00a0 Now that you have everything contextualized and sorted into projects, you must make certain that your next actions are moving you in the direction of completion.<\/p>\n<p style=\"text-align: justify;\">Therefore, you should, once a week review the status of your projects and preview your next 7 days, by planning your priorities: Check your Calendar against your Project goals and due-dates in your To-Do lists to\u00a0see if you can achieve all of it or need to re-schedule and rearrange things.<\/p>\n<p style=\"text-align: justify;\">Please don\u2019t confuse this review with the daily purging and filtering you should be doing.\u00a0Rather, this is a broader view of your progress that allows you to measure and track progress.<\/p>\n<p style=\"text-align: justify;\"><strong>Summary<\/strong><br \/>\nThe key is to try this system, and take the parts that work for you.\u00a0 I think many people will be content to just make a list and knock off the things you can do in five minutes or less; that alone will massively increase your productivity.<\/p>\n<p style=\"text-align: justify;\">As I told my students, don\u2019t get locked into trying to adhere to a system for the sake of the system, and end up doing even less.\u00a0 Find the elements that work for you, and customize it.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>I gave a lecture yesterday, and as I was starting to speak I looked out and saw faces consumed with fatigue and stress.\u00a0 It\u2019s finals time, and the students are suffering.\u00a0 So, rather than talk about what I had planned, I switched gears and gave an impromptu lesson on ProWork,  [&#8230;]<\/p>\n","protected":false},"author":5,"featured_media":783,"comment_status":"open","ping_status":"open","sticky":false,"template":"","format":"standard","meta":{"footnotes":""},"categories":[26,27],"tags":[],"class_list":["post-910","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-efficiency","category-getting-things-done"],"yoast_head":"<!-- This site is optimized with the Yoast SEO plugin v28.0 -
